HighLevel workflows

Keep HighLevel. Move the AI workflow.

Your clients do not need a new CRM to get a different AI platform. Preserve the business process, reconnect the right accounts and prove each action before switching it on.

Can I replace Synthflow while keeping GoHighLevel?

Yes. Assistable connects to GoHighLevel for agency and client workflows, including outbound calls, calendar actions and CRM updates. A migration requires authorizing the intended accounts and mapping the agent, trigger, tools and result handling. Synthflow's September 15 rebilling removal did not remove its HighLevel integration. The reason to evaluate Assistable is the agency workflow and eligible-plan usage billing you want to operate, not a requirement to replace HighLevel.

Key points
  • Keep the CRM and client process
  • Reconnect the AI actions
  • Test results in the right account

Translate the workflow, not just the prompt.

A lead-follow-up workflow has a trigger, an agent, a business action and a result. Copying the prompt covers only one part. Record what each existing Synthflow step does before choosing its Assistable replacement.

Translate the workflow, not just the prompt.
Current responsibilityWhat to configure in AssistableWhat proves it works
Agency and client connectionAuthorize the intended HighLevel location and confirm its Assistable account mapping. The correct client account and data are visible to the authorized user.
Outbound triggerUse the documented Make an AI Call workflow action with the correct assistant and number setup. One eligible test contact receives the intended call, with no duplicate old action.
Inbound or tag routingMap the number, agent and any Active Tags used by the workflow.A test conversation reaches the intended assistant and fallback path.
Calendar bookingAttach the right availability and booking tools; define service, calendar and time-zone rules. The booking appears in the right calendar against the right contact.
Contact and follow-up actionsMap qualification fields, notes, tasks and permitted next steps. The expected changes can be read back in the client CRM.
Post-call reportingChoose the required transcript, summary or outcome delivery path and test its payload. The team receives the intended information once, without the old webhook also firing.

Connect the client you intend to serve.

An agency authorization and a client-location connection are not interchangeable. Verify which HighLevel account owns the contact, calendar and workflow. Assistable documents OAuth for external client locations, including accounts outside your own HighLevel agency.

  1. Identify the location owner

Record the client location and the person authorized to connect it. Confirm the relationship before inviting users or importing configuration.

  2. Authorize and verify

Use the supported connection flow. Check the resulting client account and required tools rather than treating the consent screen as a completed integration test.

  3. Test as the intended user

Verify client access, billing membership and the workflow results from the correct account context.

A booking is only useful in the right calendar.

For clients with several services, staff members or locations, define the selection rule before adding calendars. Assistable documents multi-calendar booking through configured tools and instructions. The agent needs to know which service belongs on which calendar.

  • Test available, unavailable and ambiguous time requests, including the client's time zone.
  • Verify contact identity, calendar selection and the recorded appointment details.
  • Check rescheduling, cancellation and human escalation if those are part of the service you sell.
  • Confirm how results reach staff. A custom transcript workflow is a configured API and CRM workflow, not a promise that every transcript appears everywhere automatically.

Keep the CRM. Bring the agency model with you.

Assistable is a strong fit when you want to manage the agent service, branded client access and usage rebilling together while clients continue working in HighLevel. Eligible agency plans provide the commercial controls; client-level setup determines how the workflow behaves.

  • Keep HighLevel's own platform charges separate from Assistable subscription and usage costs.
  • Review client retainers separately from Assistable's documented usage-wallet billing.
  • Reuse account defaults through snapshots, then configure each client's calendar, number and authorization.
  • If your current Synthflow workflows already fit, keeping them and building external billing remains a valid option.

Switch one trigger with a clear owner.

Bring a representative HighLevel workflow, its current result and the client requirements to the evaluation. Agree on an observable test before changing live automation.

  1. Prove the replacement

Use an authorized test contact. Inspect the call, calendar, CRM update, handoff and usage record.

  2. Prevent duplicate action

Decide exactly when the old Synthflow action or webhook stops and the new one starts. Review retries and workflow re-entry.

  3. Observe the first live cases

Assign an owner to booking failures, missing field updates, routing exceptions and billing. Keep the previous configuration available for rollback.

Common questions

Did Synthflow remove its GoHighLevel integration?

No. Current Synthflow documentation still covers HighLevel agency/subaccount sync, calendar booking, calling actions and post-call workflows. The September 15, 2026 change removed in-product customer billing and Stripe reselling.

Can Assistable work with a client outside my HighLevel agency?

Assistable documents an OAuth flow for external HighLevel subaccounts. The client owner authorizes the connection, and you verify the intended location appears in your workspace. Check the client's access and required tools during setup.

Will my existing Synthflow workflow action automatically use Assistable?

No. Map the trigger and replace or reconfigure the relevant action, assistant reference, number and result handling. Test a representative contact before moving live traffic.

Can I use Assistable instead of HighLevel's native Voice AI?

Assistable is a separate integration with its own agent configuration and agency offer. HighLevel also has native AI products. Compare actual workflow behavior, account controls and total costs instead of assuming they are interchangeable.

Does moving the agent also move my client's billing?

No. Authorizing HighLevel connects the workflow; it does not migrate Stripe subscriptions, payment permissions or credits. Configure eligible-plan usage rebilling and reconcile the commercial transition separately.

What should I bring to a HighLevel migration evaluation?

Bring a sanitized workflow example, client-location structure, calendar rules, expected contact updates, transfer destinations and billing requirements. The evaluation should prove the complete business result.
