How do I keep calls covered while moving from SimpleTalk?
Keep a tested answering or callback route ready before you change live traffic. Decide which numbers need immediate coverage, who will answer and how unfinished requests reach your team. Move a small group of calls first, check the real results and keep the fallback available until the replacement is working.
Key points
- Choose the customer requests that cannot wait.
- Test the fallback from outside your own system.
- Track unfinished work before, during and after the switch.
Decide what must stay reachable
List the numbers customers rely on and what they expect when they call. A sales inquiry may be served by a callback queue; an existing-customer support line may need a person answering.
For each line, choose the acceptable temporary experience and how quickly your team must follow up. Make sure the people covering it know what to record and when to escalate.
An answering fallback can keep a customer in contact even while an automated booking connection is unavailable. Give the unfinished booking to a person rather than losing it between systems.
Know who can fix each part
Keep this list somewhere your team can open without the calling platform. Name a person who has the necessary access for each part.
| Part | Who needs access | Check that proves it works |
|---|---|---|
| Phone route | The number's authorized administrator | An outside call reaches the fallback |
| Agent instructions | The person maintaining business information | The replacement passes the agreed scenarios |
| CRM | The administrator for the correct location | The call result reaches the right customer |
| Calendar or action | The person able to repair the connection | The intended action exists once |
| Calling queue | The person tracking pending and completed work | Finished work is excluded from the restart |
| Staff coverage | The person responsible for exceptions | Someone receives and acknowledges the request |
Choose a fallback you can use today
A staffed line, answering service or callback process may be enough for temporary coverage. Check its hours and the volume the team can handle. Test the number from outside the system.
Write down who can change routing and what they need to do. If an agency or carrier must act, confirm the contact and approval process in advance.
A second AI platform is useful only after its instructions, connections and number route are prepared. Keep a simpler human fallback if the automated alternative is not ready.
Practice with test calls
Run a small drill with test numbers and people who know they are participating. Write down what happened and fix any gaps before relying on the plan.
Pick one failure to practice
For example, make a test booking connection unavailable and check that someone notices the problem.
Use the fallback
Follow the written steps and make an outside call to confirm the customer can reach it.
Record unfinished requests
Capture the information staff need and assign each request to a person.
Restore the normal route
Check the agent, CRM and calendar results before returning the test traffic.
Check for lost or repeated work
Confirm requests were completed once, then update the instructions with what the team learned.
Keep the plan useful after the move
Keep current copies of approved instructions, account contacts and routing details. Recheck the relevant part when you change a number, permission, calendar or agent rule.
Give one person responsibility for keeping the plan current. Set a review schedule that fits the business and record the result of each drill.
Include these coverage needs in your Assistable migration review so the normal workflow and its fallback are planned together.
Common questions
Do I need a second AI provider for backup?
Not always. A staffed line or callback process may cover your essential needs. A second platform helps only when its configuration, access and routing are ready.
When should I test the fallback?
Test it before the switch and after relevant changes to numbers, permissions, calendars or agent behavior. Set an ongoing review schedule with the people responsible for coverage.
When is it safe to finish the move?
When calls reach the right destination, CRM and booking results are correct, unfinished requests have owners and repeated work has been ruled out. Keep the fallback available while early live results are checked.
