Before you connect

Requirements

Use the HubSpot account and Assistable workspace that should own the production connection.

Assistable access

An active Assistable Direct workspace and permission to manage its integrations.

HubSpot install access

A HubSpot Super Admin is recommended. Otherwise, the installer needs App Marketplace access plus read and edit access for contacts, companies, deals, and tickets.

Correct account

Know which HubSpot production account should receive records. The connection belongs only to the workspace and environment where it was started.

Install

Connect your HubSpot account

The connection normally takes about five minutes. Start every attempt from Assistable so the authorization request is fresh and belongs to the correct workspace.

    Open Assistable Integrations

    Sign in to the Assistable Direct workspace you want to connect, open Integrations, and select HubSpot.

    Start a fresh connection

    Click Connect. Always begin from the Integrations page; do not reuse or refresh an older HubSpot authorization link.

    Choose the HubSpot account

    Sign in to HubSpot if prompted, then select the production HubSpot account that should receive Assistable data.

    Review and approve access

    Confirm the consent screen lists only the eight core permissions below, then click Connect app. A Super Admin is the simplest installer.

    Confirm the connection

    HubSpot returns you to Assistable. The HubSpot card should display Connected for the same workspace and environment where you started.

If HubSpot says you do not have permission

Ask a HubSpot Super Admin to install the app, or have an admin grant App Marketplace access and the required CRM object permissions. Do not grant Commerce, quotes, products, custom objects, reports, or Partner Admin for the standard Assistable launch connection.

Eight core scopes

Assistable asks only for the access used by the launch integration. The consent screen should not contain an Optional section.

Configure and use

Verify the connection with a test record

No separate field-mapping screen is required for the standard contact mirror.

Automatic contact mirroring

  • Create a uniquely named synthetic contact in Assistable with first name, last name, email, phone, and company.
  • Open HubSpot Contacts and confirm that the matching contact appears.
  • Edit that Assistable contact, then confirm the same HubSpot record updates without creating a duplicate.
  • New and subsequently edited contacts are mirrored. Existing contacts are not bulk-backfilled automatically.

Agent and workflow actions

  • When an agent or workflow offers a CRM provider selector, choose HubSpot.
  • Authorized actions can find, create, or update contacts, companies, deals, and tickets.
  • HubSpot reads occur only when an authorized action requests the data.
  • Use synthetic records first, then remove them when testing is complete.

How data moves

Assistable → HubSpot

Contact creates and edits are mirrored in the background on a best-effort basis.

HubSpot ↔ Assistable

Agents and workflows read or update core CRM objects only when an authorized action runs.

Not continuous

Changes made directly in HubSpot are not continuously copied back to Assistable, and deletions are not mirrored automatically.

Disconnect or uninstall

Remove access safely

Disconnecting stops future Assistable API access. Existing records in both products remain in place.

Disconnect in Assistable

  1. Open Assistable Direct → Integrations.
  2. Find the HubSpot card and click Disconnect.
  3. Confirm the action. Assistable revokes the HubSpot grant and removes the stored connection.
  4. Future contact edits and CRM actions stop. Existing HubSpot records are not deleted.

Uninstall in HubSpot

  1. In HubSpot, open Settings.
  2. Go to Integrations → Connected Apps.
  3. Find Assistable Direct, choose Actions → Uninstall, then confirm by typing “uninstall”.
  4. If you reconnect later, start again from the Assistable Integrations page.

Troubleshooting

Common connection issues

Most authorization failures are resolved by starting a fresh attempt with the correct HubSpot installer.

Redirect URL mismatch

Return to Assistable Integrations and click Connect again. Do not reuse an old authorization URL or browser history entry.

Permission denied

Use a Super Admin, or ask an admin to grant App Marketplace access and the core CRM object permissions.

Still not connected

Email [email protected] with the UTC time, Assistable workspace name, and the error text. Never send OAuth tokens or passwords.
