## Keep callers and callbacks covered

Choose the numbers and customer requests that need attention first. A support line, new sales inquiries and routine reminders may need different coverage. Tell the person covering each queue what they should capture and what they can resolve.

If you control number routing, test a staffed destination before redirecting calls to it. If another party controls routing, contact that account administrator and prepare a callback process for requests you can still receive.

1. **Choose critical queues** List the numbers and customer actions that need coverage now, with business hours and an accountable owner.
2. **Test the fallback** Call the destination from outside the system. Verify the greeting, staffed hours, voicemail and callback ownership.
3. **Reconcile missed work** Create a single list of unanswered inquiries, pending callbacks and uncertain bookings. Mark each completed item to prevent duplication.

## Keep a short record of the problem

Save the error text, affected number, test time and call identifier if one is available. Add the last time the workflow worked and any settings changed since then. This is enough to give your team or a replacement provider a useful starting point.

Use redacted examples in an initial discussion. Share recordings or customer records through an agreed secure channel when they are needed.

- Who is handling the problem?
- Which customer actions are affected?
- Where are urgent calls going now?
- Which calls or appointments still need a follow-up?
- When will the team check again and decide the next step?

## Restart without repeating customer work

Check which contacts were called, which appointments exist and which results may still arrive. Remove completed work from the restart list. When the replacement takes over, stop the old trigger from calling the same audience.

Start the replacement with a small set of calls. Check the conversation and its real CRM or calendar result before increasing volume. Keep a fallback that is currently reachable.
