# How to save your SimpleTalk data before moving.

Find the account records, agent settings and open customer work to save from SimpleTalk and connected systems, then check your copies before using them.

## What should I save before leaving SimpleTalk?

Save your available agent instructions, number details, CRM records, customer preferences and unfinished work first. Then preserve useful call history and recordings through the options your accounts provide. Label each copy with its source and date range. Keep historical records separate from a new campaign audience so completed work is not repeated.

Start with pending callbacks, appointments and active calling rules.

## Look in the systems your team already uses

A call may leave information in several places. Your CRM may hold the contact and outcome, the calendar the appointment, and the calling platform the recording. Find the account holding each item before assuming it is unavailable.

List who can access each account and whether they can view, export or change the records. That helps you focus requests on the right person.

Keep passwords, keys and recovery codes in your password manager. An initial migration brief should describe available access without including the secrets.

## Save the records that affect customers first

Prioritize what your team still needs to do: pending callbacks, appointments, customer requests and outreach preferences. Then save the settings needed to reproduce the workflow and the history useful for serving those customers.

| What to save | Include when available | Check |
| --- | --- | --- |
| Agent configuration | Instructions, knowledge sources, actions and routing | Which version is currently active? |
| CRM records | Contacts, outcomes and suppression preferences | Which system is authoritative and what identifiers link the records? |
| Open work | Scheduled calls, callbacks and appointment obligations | What has already completed or been canceled? |
| Call history | Available identifiers, timestamps, outcomes and permitted media | Does the export cover the needed date range and record count? |
| Integration settings | Destinations, field meanings and credential owners | Which settings can be recreated without exposing credentials? |
| Account evidence | Number inventory, invoices and administrator details | Who can authorize the required changes? |

## Check that your saved copy is useful

Use the export or retrieval options available in the account. If the record type or date range you need is unavailable, record the gap and ask the authorized provider contact about a supported way to obtain it.

Open a sample of the saved data. Check the date range, record count, time zones and customer identifiers against the source where possible. Confirm that any recording or attachment you need can actually be opened.

Keep an original copy before editing or converting it. Label the source, date collected and period covered. Limit access to the people who need the records.

## Keep history separate from the next campaign

An archive preserves what happened. A campaign import can tell the new system to act. Treat them separately so a customer who was already called, booked or opted out is not added as a fresh lead.

Decide where each record belongs and keep a way to match old and new customer identifiers. Test a small sample before importing more.

- Keep old call outcomes recognizable as history.
- Carry forward completed appointments and outreach preferences.
- Inspect a small import before expanding it.
- List records you could not retrieve or match.
- Give conflicting or incomplete records to a person to resolve.

## If you cannot access SimpleTalk

Check what remains available in your CRM, calendar, carrier account and saved business instructions. Those materials can support a replacement while you pursue missing records separately.

Bring the available items and the gap list to Assistable. We can identify what is needed for the new workflow; access to missing private records or history is not automatic.

## Frequently asked questions

### Can Assistable export my SimpleTalk data for me?

The available retrieval options depend on the source account and your permissions. Start with the records your business can access and share; no private SimpleTalk access is assumed.

### Which records matter most?

Start with unfinished customer work, current agent instructions, number control, contact identifiers and outreach preferences. Preserve additional history according to its value to your operation.

### Should every old contact go into the new campaign?

No. Keep historical records separate from people who should receive a new call. Check completed work and the customer's current preferences before activating an audience.
